Band Boosters

The Mount Juliet Band of Gold Boosters are comprised of parents, grandparents, and other supporters of the band. The boosters fundraise to support the students and directors as they work to create and maintain high quality, first-class, award winning programs. Volunteers work in committees to help with various duties including Concessions, Chaperones, Uniforms, Tote & Tow, Fundraising, Hospitality, and Communications. These committees are governed by an Executive Committee.

Booster Board Job Descriptions

President: The President shall preside at all meetings of the Band Boosters and shall be an ex-officio member of all committees. The President shall be in communication with the director and all officers, shall act as judge of all elections and declare results, shall resolve problems in the membership, shall be chairman of the “Board” and Executive Board, and maintain parliamentary procedure and according to Robert’s Rules of Order (latest version ) at all regular and specially-called meetings.

Vice President: The Vice-President shall assume all the duties of the President in his or her absence. When the President is not present, the Vice President shall preside at all meetings. The Chairs of the Fundraising, Media/Marketing, and Concessions committees will report to the Vice President. The Vice-President may assist any of the other Board members with their responsibilities as determined and deemed necessary by the Board.

Secretary: The Secretary shall record minutes of all meetings, attend to the correspondence, and shall act as parliamentarian. The Secretary shall be responsible for all contracts, medical forms, notarized documents, paperwork and thorough electronic record keeping. The Secretary should be proficient in typing and computer skills.

Accounts Payable & Accounts Receivable Treasurers: Due to the complexity of the current Band of Gold accounting, the Band Boosters shall elect two (2) treasurers. The Accounts Receivable Treasurer shall share responsibilities with the Accounts Payable Treasurer for completing any report or process and/or paying any taxes, fees or payment required for the Band Boosters to remain a 501(c) (3) organization. The treasurers will be responsible for compiling a financial report to be presented at Band Boosters and Board meetings, or as requested by the President and/or Band Director. Treasurers are also responsible for sending student account statements to parents of band/guard students on a predetermined schedule.

In addition to the above, the Account Payable Treasurer is responsible for accurate record keeping, paying all incoming bills, invoices, and necessary payments. Accounts Payable Treasurer shall be responsible for monthly banking statements as well as balancing the checkbook.

In addition to the above, the Accounts Receivable Treasurer is responsible for accurate record keeping and making deposits of any and all incoming funds including, but not exclusive to: fee payments, solicited donation, fundraising and sales. This position is also responsible for allocation of credits earned from fundraising activities, fee payments, and solicited donations. This position is also responsible for tracking and usage of all Givebacks accounts. The Accounts Receivable Treasurer is also responsible for monthly banking statements as well as balancing the checkbook.

Fundraising Chair: The Fundraising Chairperson shall, with oversight from the Vice President, coordinate the efforts of the Band Boosters to raise sufficient monies for the successful operation of the organization. He/She will work closely with the Executive Board to identify and develop fund-raising opportunities which will maximize the receipt of funds produced by students and members of the Band Booster organization. The Fundraising Chairperson shall also work closely with and be accountable to the organization’s Treasurers to ensure the proper handling and accounting of funds appropriated to and derived from the efforts of the committee. The fundraising chairperson will be responsible for providing a report out at each board meeting.

Concessions Chair & Co-Chair: The co-chairpersons, with oversight from the Vice President, will coordinate the Band Booster’s efforts to operate and raise monies from selling concessions at sanctioned events at Mt. Juliet High School. Both chairpersons will work closely with the Vice President to ensure that the Band Boosters provide high-quality products in an environment which meets or exceeds the regulatory standards of health, labor, and safety. Chairperson 1 will be responsible for planning and maintaining appropriate staffing for all concessions events. Chairperson 2 will be responsible for assisting with delivery, ordering, and inventory control. The concessions chairpersons will be responsible for providing a report out at each board meeting.

Media/Marketing Chair: The Media/Marketing Chairperson, with oversight from the Vice President, will consist of overseeing the efforts of the Band Boosters to handle all Medial Advertising (flyers, handouts), Social Media Posts including but not limited to Band of Gold Instagram, Facebook and handles all advertising and correspondence with the press and all other matters of publicity. The Media/Marketing Chairperson will handle updating the website regularly and working with the Executive Board for approved content.
